3.0 Procedure
3.1 Routine Preventive Maintenance
3.1.1 The Production Managers prepare a schedule (MNT/04/501 & MNT/04/201) of routine maintenance showing frequencies of function to be done for conducting type of maintenance required.
3.1.2 The schedule is circulated to all appropriate supervisors or operators.
3.1.3 The maintenance personnel including machine operators carry out routine preventive maintenance.
3.1.4 The maintenance personnel and the concerned supervisor/operator or production manager will sign the Machine Maintenance Card (MNT/04/002) which is hang to each machine or equipment, thus reflecting maintenance status.
3.1.5 When monthly maintenance is completed, the Production Manager will sign the schedule (MNT/04/501 & MNT/04/201) and it is sent to the M.R. for verification and M.R. will sign the Monthly Schedule and it will evident it has been done.
3.2 Breakdown & Repairing
3.2.1 Once the machine breakdown has occurred in any section of the unit, the concerned supervisor or operator reports to the Maintenance Personnel and Production Manager. The Production Manager opens an entry in the Machine Maintenance Register (MNT/04/001).
3.2.2 The Maintenance Personnel or Production Manager take necessary action immediately, on the breakdown reports. Once the machine/equipment is repair the Production Manager signs the machine breakdown card (MNT/04/003) and closes the entry in the Machine Maintenance Register.
3.2.3 If the maintenance personnel cannot respond immediately, or it is deemed necessary to acquire parts or to send the machine/equipment elsewhere for repair, then the “Out of Order” sign will be placed on the machine/equipment.
3.2.4 If the machine/equipment is required to send out for repair, the authorisation of the CEO is required and the Production Manager retains the machine breakdown card, records all appropriate details/actions in the Machine Maintenance Register.
